Company Outline & Market

To provide a quality drawing office service to engineering companies.

Customers fall into two categories.

A)        Small companies without CAD operator(s). Engineering controls by final clients are increasingly asking for CAD drawings for proposals and/or as built records. Normally, company’s employing 4 to 12 personnel cannot justify the employment of a full time Draughtsman.

B)        Companies with over 12 / 15 staff may employ 1 / 2 or more CAD Technicians. However, because of non uniform rate of order intake they often need an over spill capacity to cope with the production of drawings.

The market I am working for falls into either of the above categories.

Outline of Documented Quality System

The system is designed to keep a traceable record of all telephone calls, faxes, messages, e- mails, orders, order acknowledgements, quotes, correspondence, and records of meetings in relation to any contract which Park Engineering has been involved in.  These records to be kept in a neat, logical and in chronological order so that an outsider could understand them and carry on with the business.

Operation of Documented Quality System


Each enquiry received is given a Quotation number. The quotations are sent out in a standard format with the following information

A)        Quotation number.

B)        Date.

C)        Client:  name, address and contact name.

D)        Description of services offered.

E)         Fixed Price.

F)         Payment Terms.

G)        Note of any special terms or conditions. (if applicable)

H)        Standard terms and conditions.

An up to date quotation register (spreadsheet) exists which allows the quick finding of any previously sent quotes. Once an order is confirmed the quote is given a job. No. (It is understood that some clients do not always supply order nos. In an instance of this nature the client will be faxed (sent) a confirmation of conversation with all the order information.)     The job no. is the same as the Invoice No., which is used at the end of the contract. At this time a job card envelope is raised. This job card has all the contract information i.e. start and proposed completion date. It also has a section for telephone messages, job progress details and technical queries. All relevant hard copy information is kept inside this job envelope. Drawings to be numbered with the first three digits of the customer name i.e. Brown: Bro. 1-01, 02 etc. second job for Brown would be Bro. 2-01. All drawings checked by marking of prints system i.e. green for OK and red for “to be altered.” At this time, final invoice to be raised and handed over, or sent to customer along with copies of checked drawings.


Invoice to have the following information

I)           Customer’s order number.

J)          Date.

K)        Client: name, address and contact name.

L)         Description of services given along with drawing nos. (if applicable)

M)      Invoice Price.

N)        Payment Terms.

O)        Note of any special terms or conditions. (if applicable)

P)         Standard terms and conditions.

Day to day notes regarding non specific job related matters will be kept neatly in a day book.
